Being an authorized VACAYA Travel Pro is a tribute to your knowledge of the VACAYA product and the value your agency brings to our mutual clients. This section highlights the advantages and benefits your agency could enjoy by participating in our program. You’ll discover a plethora of tools and resources available through VACAYA’s Authorized Travel Pro Program to help you promote and grow your business. Finally, we’ll outline the policies that govern our program to help you remain in good standing with VACAYA.

Marketing Support

VACAYA Email List
To stay on top of the latest VACAYA news, one of the very first things you will want to do is subscribe to the VACAYA consumer email list. We will send out consumer emails about every two weeks so this is a great way to stay informed on new vacations and special offers. You can sign up here.

From time to time Vacaya will send out press releases.  When you see them, feel free to leverage the messaging content within your own client communications.  You are free to use the messaging on your website, within social media, email and other communications with clients. VACAYA Blog
We are inspired by travel and we are not alone. We’ll use our blog as a platform to share the best thinking about LGBT and ally travel. We’ll have some of the best thinkers in our industry as contributing editors. Impress your clients by sharing their views and your own opinions along the way. Facebook
Go to http://www.facebook.com/myvacaya. The VACAYA page serves as a centralized hub for the latest news regarding all VACAYA vacations. The page offers rich, shareable content which you can post on your Facebook page or profile and supplement with your own messaging. Using this tool is simple: visit http://www.facebook.com/myvacaya, browse through posts and photo albums to choose content most relevant to your clients, then click the “Share” button and the image/video will automatically be posted on your page or you can share to a particular client’s facebook timeline.

Instagram
Go to http://www.instagram.com/myvacaya. This is the official source for news on products, offers and more for all VACAYA vacations. You may use the Instagram function “Share” for any content posted on this page.

YouTube
You may share videos created by VACAYA from the VACAYA YouTube Channel by embedding them in your site or linking to videos found at: https://www.youtube.com/channel/UCTMhOkIDdThzifl_-ly2PAQ

Twitter
You can retweet content from the official VACAYA Twitter account at htttp://www.twitter.com/myvacaya. You may also include consumer-facing hashtags, such as #VACAYA or #MyVacaya.

Vacation Resource Guide
When a new vacation is ready to accept bookings, you’ll receive an email with our Vacation Resource Guide. This helpful tool is packed full of information you’ll need to clearly communicate the unique features, benefits and offers of the vacation to your clients and help maximize your sales.  You’ll also receive all the information you’ll need to calculate your commissions for the particular vacation. All past Vacation Resource Guides are stored on this site for reference here.

Free Printable Materials
We understand that from time to time a physical card, flyer or brochure can make a big difference in landing a sale with your clients. You’re welcome to download these free printable one-page flyers to share with your customers electronically or in printed form. When we have these available, links will appear below.

OnDemand Print Shop (professional printing at cost, delivered to you)
In VACAYA’s OnDemand Print Shop, you’ll find great professionally-printed VACAYA assets like post cards, flyers, sweepstakes handouts, and stickers you can share with your clients. Many are customizable with your agency contact information. If you live in the US, your order will be shipped directly to you within a few days. International orders take just a bit longer. Based on your feedback, we’ll be adding new options all the time. Just send your suggestions to marketing@myvacaya.com.

LGBT Event Kit
We love that you attend LGBT events in your local markets and that you wish to share the VACAYA brand with event participants. If your event is in line with our marketing objectives and your event is US based, we will ship an event kit (at no charge to you) to energize your booth and help draw in the crowd. The kit will include materials to dress your booth, literature to hand out, and sweepstakes entry forms for your event attendees to exchange their email address for a chance to win a free VACAYA cruise (funded by VACAYA). VACAYA and the travel agency managing the event will share 100% of the email addresses. To qualify for the free kit, you must believe that your event is capable of producing 500 completed sweepstakes entry forms/email addresses. If so, we’ll include return postage label, so you can easily return the kit after your event. To apply, simply review and complete the attached form to marketing@myvacaya.com and we’ll let you know if your event qualifies.

Digital Image Library & Logos for Travel Professional’s Websites
Downloadable VACAYA imagery and logos are available to all of our authorized travel professionals to help bring the VACAYA story to life within your websites. Please include the VACAYA signature that is burned into the image to convey proper photo credit. And to help us maintain our individual brand integrity within your website (where other brands may appear) please only use our images only in relation to VACAYA vacations. Although our turnaround times will likely be faster, please submit new proposed website creative to marketing@myvacaya.com at least two weeks in advance of your publication to leave enough time for feedback and edit requests from us. Once we are confident you understand the way we wish our assets to appear in your website, we won’t ask you to submit every time you make a change to your website.

Policies

We want to keep our policies as simple and as transparent as possible but we hope you will agree that it is important to have them in place so that our mutual guests can count on clear communications from you and us. Our policies were written to advise travel professionals on some of the items that Vacaya will be looking for when reviewing proposed third party advertising from travel professionals. Our policies also help to maintain a parity among travel professionals which fosters a more collaborative ecosystem. So take action within the spirit of these policies and we’ll all be able to serve our mutual clients with more fun and very little drama. VACAYA may alter our policies from time to time at VACAYA’s sole discretion.

Things to Do

  • Represent yourself as a “VACAYA Authorized Travel Pro” or a “VACAYA Authorized Travel Agent”.
  • Act within the spirit of the guidelines as well as the written words.
  • Use preapproved marketing assets provide on this website and via the Vacation Resource Guides.
  • Clearly indicate that your travel agency (rather than VACAYA) is an authorized seller of Vacaya vacations.
  • Place VACAYA logos in separate graphic areas of collateral/advertising layout; they cannot be placed directly next to any agency’s logo(s).
  • When advertising or listing a VACAYA vacation that includes price, the published VACAYA rate must be displayed to ensure transparency.
  • When advertising multiple vacations in a travel agency ad, include VACAYA in its own separate section and make it equal to or greater in size, prominence and/or location on the page as the non-VACAYA vacation vacations.
  • Follow VACAYA Copyright and Trademark guidelines (see below).
  • Use the terms…Stateroom not cabin, Deck not a floor, Team Member not employee.

Things to Avoid

  • Represent or imply that you are an employee of VACAYA or authorized to act on behalf of VACAYA.
  • Give the impression that your advertising or website is a VACAYA ad piece or VACAYA website or that your travel agency is directly associated with VACAYA.
  • Lead clients or potential clients to believe that you are able to provide them with booking advantages that are not accurate or pricing discounts off of the VACAYA published rates.
  • Advertise or offer incentives that result in a misperception that the consumer is receiving a discount off of the VACAYA vacation.
  • Advertise prior to the embargo date for each vacation which is communicated to you within the Vacation Resource Guide for each event.
  • Advertise past events or expired promotions.
  • Rip images, logos and/or videos from the VACAYA website for your own. Instead, download the pre-approved items from the VACAYA travel professional portal. And embed our videos directly from YouTube. This will ensure they look professional and are copyright compliant.
  • Use VACAYA images or logos in agency stationery (letterhead, business cards, etc.) or email signatures.
  • Feature companies that offer products/services that are in competition with products/services of VACAYA in close proximity to VACAYA products/services within collateral or advertising.

Digital Image Library & Logos Policies for Travel Professional’s Websites

  • You must use only VACAYA-supplied photography and logos to promote VACAYA vacations, products, or services.
  • Personal photography of the VACAYA product or service may NOT be used under any circumstances.
  • Photography and logos must be reproduced in its original format, without any retouching or modifications (e.g., cropped, cut-out, altered, overlapped, written across, recolored).
  • Include the VACAYA signature that is burned into the image to convey proper photo credit.
  • Although our turnaround times will likely be faster, please submit all proposed creative to marketing@myvacaya.com at least two weeks in advance of your publication to leave enough time for feedback and edit requests from us.

Copyright and Trademark Policies
In order to maintain a level playing field for all agents and to present a clear distinction between travel agency brands and our VACAYA brand, we ask that travel professionals carefully read the following policies and adhere to them as you develop marketing communications. There are no pass-along rights of trademarks, photographs or logos. Violation of these terms will lead to copyright/trademark infringement – and put VACAYA authorized travel professionals at risk of losing VACAYA commissions on previously booked vacations. Multiple copyright/trademark violations could lead to the loss of permissions to sell VACAYA travel products.

VACAYA Copyright and Trademark Policies within Travel Professional’s Websites
If travel professionals choose to develop a page within your website dedicated to one of our vacations, we request you refrain from using VACAYA brand name and our specific event names within the destination URL – or the display URL of these dedicated pages.  Example of what not to do in your URL: travelagencyname.com/vacaya/vacaya2019caribbeancruise.  Instead, we suggest something like the following: travelagencyname.com/vendor1/vendor1caribbeancruise.

VACAYA Copyright and Trademark Policies within Agency Paid Search Advertising
If you invest in paid search, please leverage your brand names only in order to draw users to your website. Please refrain from purchasing any keywords in paid search that contain VACAYA trademarks, names, service marks – or misspellings. Further, travel professionals conducting paid search campaigns must enter VACAYA as a negative keyword within paid search engine bidding platforms. If you need assistance finding where to enter VACAYA terms as negative terms in the paid search platforms, please contact marketing@myvacaya.com.

Copyright and Trademark Policies within Social Media & Calendar Listings
There are limitations to how authorized VACAYA travel professional can leverage VACAYA materials and assets (including images, videos, logos and other creative) in social media. Outside of sharing content (e.g., sharing on Facebook, embedding from YouTube, re-pinning on Pinterest, retweeting on Twitter), VACAYA assets should not be posted/uploaded directly to any social media site unless preapproved. Anytime VACAYA is mentioned in a travel agents post on any social media platform, the travel agent must include a shared post from VACAYA.

In order to maintain a clear distinction between your travel agency brand and our VACAYA brand, we ask that travel professionals not launch social media pages, groups, or calendar listings dedicated to individual VACAYA vacations (cruises or resorts). Travel professionals should refrain from using the VACAYA brand name, logo and our specific event names within the name of their page, group, or calendar titles and descriptions. Travel professionals should focus their social media pages, groups, and calendar listings on their own brand. This policy covers when a travel professional is simply acting as a group or page admin as well but did not actually create the page or group.
